Studio Coordinator

We are looking for a Studio Coordinator to join our administration team in Prahran on a full time basis.

As a Studio Coordinator, you will be the face of Cera Stribley with clients and suppliers, as well as co-ordinating a medium sized office team and assisting our two directors.

This role requires someone who is a great communicator, service oriented, tech savvy, a good delegator, pro-active, good at building team morale, comfortable in a wide range of tasks, and an interest in finding new opportunties to improve or streamline systems where necessary.

Responsibilities include:

  • Looking after the needs of the team and the two directors in all aspects of the office.

  • Setting up and managing software alongside our admin team and our IT company

  • Exeutive assistant duties to the directors, including email management,  travel arrangement and personal organisation

  • Executing and planning office and team events with admin team

  • Running team meetings, and management meeting notes/minutes

  • Upkeep and development of office systems and assistance with Policy

  • Internal CPD co-ordination with team leads and managing the recording of these seminars

  • Assistance executing marketing tasks (photoshoots) alongside the manager

  • Booking meetings for the directors both internally and externally
  • Assist with specific project and administration work where required
  • Email management, including passing project matters to the relevant person and filing as appropriate
  • Managing the director's paperwork and filing with high organization
  • Providing general office support where required
  • Covering reception on lunch (ensuring coffee and tea for clients and tidying at certain times)

Attributes/Skills necessary:

  • Able to demonstrate proficiency in the responsibilities outlined for the role
  • Excellent knowledge of Microsoft Office
  • Experience with Adobe CS
  •  Previous experience in P/A or E/A duties
  • Excellent written and verbal communication skills
  • Well-presented and friendly
  • Experience in handling sensitive information with absolute discretion
  • Outstanding organizational skills
  • Proven skills in a business development environment
  • A proactive and enthusiastic mindset with a willingness to learn and keenness to contribute to the development of the company

You will be able to get along with lots of different people, will be professional with clients and suppliers alike. You will be the face of Cera Stribley and will be approachable and friendly.
